Instagram DM Automation for Hotels and Hostels: From Reel to WhatsApp Booking

Instagram DM automation for hotel and hostel chains, with handoff to WhatsApp

Short answer: hotels and hostels get most of their Instagram enquiries as comments (“price?”), story replies and DMs, and most go unanswered because one person checks the app between other jobs. Instagram DM automation fixes the first reply: a keyword comment on a reel gets a public reply and a private DM, a DM gets a menu of properties and dates, and an ad click starts the same flow. Then, with the guest’s permission, you move the conversation to WhatsApp, where you can send rates, confirmations and check-in details on your own schedule.

This guide is for the marketing team at a hotel, hostel or boutique stay chain with several properties and an Instagram following that drives real bookings. If one owner answers every DM for one property, the Instagram app is enough. If enquiries come in for five properties across reels, stories and ads, read on.

Why Instagram enquiries get lost

  • Comments are not conversations. “Price for 2 in Goa?” under a reel gets a “DM us” reply, if anyone sees it. Many travellers never send the DM.
  • One phone, many properties. The marketing team runs the account, but the answers (rates, availability, group beds) sit with each property’s reservations team.
  • Replies come after the moment has passed. Someone planning a weekend trip asks three places at once. The first useful reply usually wins.
  • No record. Enquiries live in the Instagram inbox, so nobody can say how many bookings a reel or an ad actually produced.

Six Instagram moments to automate

Each row is a trigger you can start a flow from in CampaignHQ. Keep every first reply short and useful: a question with buttons, or the one link the guest asked for.

Moment What the guest does Automated first reply
Reel or post comment Comments a keyword you named in the caption, such as “GOA” or “RATES”. A short public reply (“Sent you the details!”) and a private DM asking for dates and number of guests.
Direct message Writes “hi”, “availability” or a property name. Buttons for each property, then dates and group size.
Story reply Replies to an offer or “new property” story. The offer details and a “Check dates” button.
Story mention A guest tags you in their story during the stay. A thank-you DM, plus a past-guest tag for your return-visit campaigns.
Live comment Comments during a property tour on Live. A DM with rates for the property on screen, sent while the Live is running.
Instagram ad Taps “Send message” on an ad. The same qualifying flow, with a tag for the campaign, so you can count enquiries per ad.

Two of Meta’s rules shape these flows. A comment can get only one private reply, sent within 7 days of the comment (for Live, only while the broadcast is running), and the conversation continues only when the person writes back. See Meta’s private replies documentation. So make that first DM count: ask one clear question with buttons, so replying takes one tap.

Move the booking to WhatsApp, with permission

Instagram is where guests discover you. It is a poor place to finish a booking: after the first exchange, you can only reply when the guest writes back, and you can’t send a confirmation or a pre-arrival message days later. WhatsApp can, through approved templates, as long as the guest agreed to hear from you there.

A simple handoff inside the Instagram flow:

  1. Ask: “Want rates and availability on WhatsApp? Share your number and we’ll send them there.”
  2. Collect the number (or an email, for guests who prefer it) in the flow.
  3. Send a WhatsApp template with the rates, the property and a booking link. The reservations team takes it from there in the same inbox.

Asking first matters. It keeps your opt-in clean and your WhatsApp quality rating healthy. Our guide to WhatsApp opt-in management covers how to record consent.

Route each enquiry to the right property

For a chain, the hard part is not the first reply. It is getting the enquiry to the people who can confirm a room.

  • Tag by property and intent. The button a guest taps (“Manali”, “Group booking”, “Workation”) becomes a tag and a condition in the flow.
  • One shared inbox. Instagram DMs and WhatsApp chats land in the CampaignHQ team inbox, assigned to each property’s reservations team instead of one marketing phone.
  • Answer on the move. Property managers can reply from the CampaignHQ mobile app during the shift.
  • Hide spam, not complaints. Flows can hide spam comments automatically. Answer genuine complaints in public; hiding them looks worse.

Hostel and group bookings

Hostels and backpacker chains get different questions: bed in a dorm or a private room, women-only dorms, group trips, long stays for remote workers. Build the buttons around those, not around room categories copied from a hotel website. For groups, collect the group size and dates in the flow and route straight to a person; a group of twelve wants a human, not a link.

After the booking

Once the guest is on WhatsApp, the rest of the stay runs like any hotel guest journey: confirmation, pre-arrival directions, check-in details, a mid-stay check, a review request and a return-visit offer. Our hotel guest communication playbook has templates for each stage, and WhatsApp for hotels covers the API setup. If your bookings live in your own PMS, see connecting a custom PMS to WhatsApp. For longer content like itineraries and seasonal offers, add email: resort email marketing and email for travel and hospitality.

What to measure

  • Comment-to-DM replies: how many people who got a private reply wrote back. Low numbers mean the first DM asks too much.
  • WhatsApp handoffs: how many Instagram conversations shared a number.
  • Enquiries per property and per reel or ad: from the tags, so you know which content fills which property.
  • Bookings from Instagram: enquiries that became stays, the number that justifies the content budget.

Common mistakes

  • Replying “DM us” to comments. Send the DM yourself; that is what the private reply is for.
  • A long questionnaire in the first message. Ask one thing with buttons. Collect the rest once the guest is engaged.
  • Pushing to WhatsApp without asking. It feels intrusive and weakens your opt-in.
  • The same reply for every property. A guest asking about your Spiti hostel doesn’t want Goa rates.
  • Nobody owns the inbox. Automation handles the first reply. Assign every conversation to a person for the rest.

Frequently asked questions

Is Instagram DM automation allowed?

Yes, when it runs through Meta’s official Instagram messaging API on a professional (business or creator) account, as CampaignHQ does. Tools that log in as you or scrape the app break Instagram’s terms and put the account at risk.

Can I send a DM to everyone who comments on a reel?

You can send one private reply per comment, within 7 days of the comment. For more messages, the person has to reply to that DM first. Keyword triggers keep you from messaging people who were just saying “nice view”.

Can several property teams answer from one Instagram account?

Yes. In a shared inbox, each conversation is assigned to a team or person, so the Manali team answers Manali enquiries while the marketing team keeps the account.

Why move the conversation from Instagram to WhatsApp?

On Instagram you can only reply after the guest writes. On WhatsApp, a guest who opted in can receive approved template messages any time: booking confirmations, directions, check-in details and offers for a return visit.

Do Instagram ads work with these flows?

Yes. When someone taps “Send message” on an Instagram ad, a flow can start right away. Add a tag for the campaign in that flow and you can see which ads bring enquiries.
