Payment Reminder WhatsApp Message: Templates and How to Automate Them

Payment reminder WhatsApp message templates for Indian businesses

Short answer: a good payment reminder on WhatsApp names the amount, the due date and what it is for, gives one way to pay, and stays neutral in tone. If you send reminders to more than a handful of customers, send them as utility templates through the official WhatsApp Business API and trigger them from your billing data, so every reminder goes out on time without anyone copying and pasting. Below are ready-to-use templates for each stage, from “due in 3 days” to “payment received”, and the rules that keep them approved as utility.

This guide is for Indian teams that collect money from many customers on a schedule: school and coaching fees, EMIs, real estate payment milestones, B2B invoices and subscriptions. If you only chase two or three clients a month, the templates alone are enough. If you chase hundreds, the automation section matters more.

What a payment reminder on WhatsApp should include

  • Who it’s from: your business name, so the reader trusts it before they read further.
  • What it’s for: the invoice number, course, plot or plan. “Your payment” alone feels like a scam.
  • The exact amount and date: “₹18,500 due on 5 Nov”, not “your pending dues”.
  • One way to pay: a payment link button. One clear action beats a list of options.
  • A way to talk to someone: a quick-reply button like “Talk to accounts” for people who have a question or have already paid.

Keep it short. A reminder that reads like a notice gets paid. A reminder that reads like a sales message gets ignored, and on WhatsApp it can also get your template recategorised (more on that below).

Payment reminder WhatsApp message templates

The templates below use WhatsApp’s variable format: {{1}}, {{2}} and so on are filled from your customer data at send time. Pair each one with a “Pay now” link button and a “Talk to us” quick reply.

1. Before the due date (3 to 5 days)

Hi {{1}}, this is a reminder from {{2}}. Your payment of ₹{{3}} for {{4}} is due on {{5}}. You can pay using the button below. If you have already paid, please ignore this message.

2. On the due date

Hi {{1}}, your payment of ₹{{2}} for {{3}} is due today, {{4}}. Pay using the button below to keep your account up to date. Reply here if you need help.

3. Overdue (1 to 3 days)

Hi {{1}}, we haven’t received your payment of ₹{{2}} for {{3}}, which was due on {{4}}. Please pay using the button below. If you have already paid, reply with the transaction reference and we’ll update our records.

4. Overdue (7 days or more)

Hi {{1}}, your payment of ₹{{2}} for {{3}} is now {{4}} days overdue. Please pay using the button below, or tap “Talk to us” to discuss a payment plan with our team.

5. Payment received

Hi {{1}}, we’ve received your payment of ₹{{2}} for {{3}} on {{4}}. Your receipt number is {{5}}. Thank you.

The “payment received” message matters as much as the reminders. It stops the next reminder from going out by mistake and gives the customer a record they can find later.

Versions by industry

Industry What changes in the message Example line
Schools, coaching, EdTech Address the parent, name the student and the instalment. Hi {{1}}, the second fee instalment of ₹{{2}} for {{3}}’s {{4}} course is due on {{5}}.
Real estate Name the project, unit and construction-linked milestone. Hi {{1}}, the payment for milestone {{2}} ({{3}}) on unit {{4}} at {{5}} is due on {{6}}.
B2B invoices, agencies, SaaS Lead with the invoice number and attach the invoice PDF in the template header. Hi {{1}}, invoice {{2}} for ₹{{3}} is due on {{4}}. The invoice is attached above.
Lending and EMIs Name the loan account and EMI date; keep the tone strictly factual. Hi {{1}}, your EMI of ₹{{2}} for loan account ending {{3}} is due on {{4}}.

Keep reminders in the utility category

Every message you start on the WhatsApp Business API uses a template, and Meta puts each template in a category: marketing, utility or authentication. Payment reminders belong in utility, which Meta describes as messages that follow up on something the customer already did or agreed to. Meta’s own utility examples include a reminder that a monthly payment will be billed on a set date (Meta: template category guidelines).

Utility templates must be non-promotional. Meta lists these as reasons a template counts as marketing instead:

  • Mixed content: a reminder that also mentions an offer, a new course or “10% off if you pay today”.
  • Upsells or cross-sells: “Upgrade to the annual plan” inside a payment notice.
  • Renewal pushes: Meta treats subscription renewal calls to action as marketing. “Your plan will be billed on 5 Nov” is a notice; “Renew now and save” is marketing.
  • Unclear content: a template so vague Meta can’t tell what transaction it refers to.

Meta can change the category of an approved template automatically if it stops meeting these rules, so keep offers in separate marketing templates sent to people who opted in to marketing. Category also affects cost, because Meta charges per delivered message at a rate set by category (Meta: pricing). For how approval works in practice, see WhatsApp template approval time in India.

Automate payment reminders instead of sending them by hand

Manual reminders break down in a predictable way: someone forgets a batch, someone else reminds a customer who paid yesterday, and nobody can say which reminder actually got the money in. An automated reminder sequence fixes all three.

  1. Connect your billing data. Sync the sheet or system that holds due dates and amounts. In CampaignHQ that can be Google Sheets, a CSV import, or a webhook from your own system.
  2. Get your templates approved. Submit the five stage templates above as utility templates, with a payment-link button and a quick reply.
  3. Build one journey per billing cycle. Trigger on the due date: send the “before” reminder 3 days ahead, the due-day reminder on the date, then overdue reminders with waits in between.
  4. Stop on payment. When the customer’s status changes to paid, they leave the journey and get the “payment received” message instead of the next reminder.
  5. Fall back to email. If a WhatsApp reminder isn’t delivered or read, send the same reminder by email so the customer still has it in writing.
  6. Route replies to a person. “Already paid”, “Can I pay half now?” and “Wrong amount” need a human. Send replies to a shared team inbox so accounts can answer within the 24-hour window.

CampaignHQ’s workflow builder handles the triggers, waits, branches and WhatsApp-to-email fallback in one journey. Related playbooks: subscription renewal reminders, real estate follow-up automation and EdTech student re-engagement.

Mistakes that hurt collections

  • Reminding people who already paid. Nothing annoys a customer faster. Update payment status before each send, and always send the “payment received” message.
  • Too many reminders. Daily reminders get muted or blocked, and blocks lower your number’s quality rating. Space them out; see WhatsApp frequency capping.
  • Threatening language. Keep the tone factual. Customers screenshot rude reminders.
  • No opt-in. Collect consent for WhatsApp updates at admission, booking or onboarding, and record it. See opt-in management for Indian teams.
  • Personal phones. Reminders sent from staff phones leave no record and stop when that person leaves. Send from your business number through the API instead; our guide to sending WhatsApp messages at scale covers the setup.

Frequently asked questions

How do I write a polite payment reminder message on WhatsApp?

Greet the customer by name, say who you are, state what the payment is for, the amount and the due date, and give one way to pay. Add “If you have already paid, please ignore this message” so customers who paid don’t feel accused.

Is a payment reminder a utility or marketing template?

A reminder about a payment the customer already owes is utility, as long as it contains no offers, upsells or renewal pushes. Add promotional content and Meta can treat it as marketing.

Can I send payment reminders to customers who haven’t messaged me?

Yes, through the WhatsApp Business API using an approved template, as long as the customer opted in to receive WhatsApp messages from you. Customers don’t need to have saved your number.

Can I add a payment link to the reminder?

Yes. Add it as a call-to-action button on the template, and use a dynamic link so each customer gets their own payment page.

How many reminders should I send for one payment?

For most businesses, one before the due date, one on the day, and two or three after it, spaced several days apart, is enough. Stop as soon as the customer pays, and move long-overdue accounts to a person rather than more messages.
