Best Travel Agency Software in India: 8 Tools Compared (2026)

Travel Agency Software: Choose Your Stack

Indian travel agencies should choose software by responsibility: CRM for enquiry ownership, booking tools for reservations and inventory, support software for service requests, and customer engagement for timely communication. Start with the broken handoff, not a tool ranking. Check cancellation updates, consent, integration ownership and total charges before you buy.

Updated 3 November 2026.

A traveller changes their departure date. Operations updates the booking, but marketing still sends the old reminder. Adding another messaging tool will not fix that unless the systems share the right information.

This guide helps marketing and operations teams choose the software around that handoff. It compares documented product roles, not hands-on performance or a universal winner. If your decision is specifically which sales CRM to buy, use our travel CRM shortlist.

Choose the missing job before the software

Write down the failure you want to stop. Then assign it to a system and a person.

  • Enquiries have no clear owner: evaluate a CRM, meaning a customer relationship management system. Look for lead assignment, deal history and follow-up tasks.
  • Availability, reservations or vouchers are unreliable: evaluate booking software. A contact record is not proof that a hotel room or tour place is reserved.
  • Changes and complaints disappear between teams: evaluate support ticketing and escalation. Marketing automation should not decide a disputed refund.
  • Customers receive late or irrelevant communication: evaluate engagement software and the data feeding it. Check audience selection, consent, event triggers and stop conditions.

One product may cover several jobs. Keep it if it meets your requirements. Separate tools are useful when they close a real gap, not because a larger software stack looks more capable. Our email and WhatsApp journey guide explains how to connect communication without treating each channel as a separate campaign.

Eight options, with different roles in your travel stack

The order below is not a performance ranking. Booking, CRM, support and engagement tools are not interchangeable. Use the role description to decide which vendor deserves a demonstration.

Travel agency software compared

Software Main job Shortlist it when
CampaignHQ Customer engagement: email, WhatsApp, SMS and RCS journeys Marketing needs to coordinate messages around enquiries, bookings and repeat travel
LeadSquared Lead and opportunity ownership Enquiries need an owner, a score and a visible next action
Kapture CRM Customer service and escalations Itinerary changes and service requests get lost between teams
Zoho CRM Sales records with WhatsApp conversations You already use Zoho and want WhatsApp inside the sales record
Travelomatix Booking portal and supplier (GDS) connectivity You need to sell and manage flight and hotel reservations
Freshsales Sales activity and pipeline follow-up Sales needs calls, messages and next actions in one view
Rezdy Tour and activity availability You sell scheduled experiences with limited capacity
HubSpot CRM A shared customer record across teams Sales, marketing and service need one connected record

Most agencies need more than one of these: usually a booking system, a CRM and an engagement tool that share booking status and consent.

1. CampaignHQ: customer engagement alongside your booking system

CampaignHQ supports Email, WhatsApp, SMS and RCS. Its platform features include shared customer profiles, segmentation, CRM-lite and event-triggered journeys. CampaignHQ is a Meta Business Partner.

Evaluate it when your marketing team needs to coordinate communication around enquiries, bookings and repeat travel. For example, a booking-status event could start a relevant journey once your integration and consent rules are in place. That is a proposed workflow to demonstrate, not a promise that every travel system connects automatically.

CRM-lite supports contact context; it is not a substitute for reservation inventory, supplier settlement or detailed booking operations. Bring your existing booking software to the demo and confirm the integration, supported channel actions and exception handling. For RCS, confirm the required format and reach rather than assuming every customer can receive the same message.

2. LeadSquared: lead and opportunity ownership

LeadSquared’s sales-user documentation covers leads, opportunities, scoring, activities, tasks and permission-controlled reports. It also documents email and WhatsApp communication, with configuration controlled by administrators.

This is a sales-management option when enquiries need an accountable owner and a visible next action. In a demonstration, ask where the confirmed booking reference is stored and how a later cancellation reaches the sales record. Do not assume that a deal marked won is the same thing as supplier confirmation.

3. Kapture CRM: customer service and escalations

Kapture’s Service Cloud describes ticket assignment, request handling, customer notifications, self-service and support across channels. Its stated industry coverage includes travel.

Evaluate this role when itinerary changes, service requests and unresolved cases are the operational bottleneck. Ask the vendor to show a traveller’s request reaching the responsible team, with booking context and an escalation path. Verify the reservation-system connection separately; a support platform’s travel focus does not establish that every booking function is included.

4. Zoho CRM: sales records with WhatsApp context

Zoho documents WhatsApp conversations, templates and workflow notifications inside its CRM. That makes it worth checking before adding a second tool solely to give salespeople access to WhatsApp.

For an agency already using Zoho, test whether the current edition and configuration meet the required job. Check how records connect to booking and accounting tools, which team owns templates, and how another system learns that a traveller has opted out. Buy additional engagement software only for a demonstrated gap.

5. Travelomatix: booking portals and supplier connectivity

Travelomatix describes an internet booking system with consumer and agent modules. Its Travelport integration page lists flight and hotel booking functions, payment integration and booking-status administration. A global distribution system, or GDS, provides access to travel inventory.

Evaluate this category when you need to sell and manage reservations, rather than just follow up on enquiries. Request a demonstration using the suppliers and booking types you actually sell. Confirm credentials, commercial agreements, cancellation handling and the events available to your CRM or engagement system. Do not buy from an inventory logo alone.

6. Freshsales by Freshworks: sales activity and pipeline follow-up

The Freshsales Suite feature page documents tasks, assignment rules, sales sequences, multiple pipelines, phone integration and WhatsApp conversations. It also describes marketing capabilities; confirm which product and plan your quote includes.

This can fit a sales team that needs calls, messages and next actions in one working view. Ask the vendor to show the handoff from a sales opportunity to your booking system. Avoid assuming either that WhatsApp is absent or that every Suite feature is included in a basic Freshsales purchase.

7. Rezdy: tour and activity availability

Rezdy’s booking software covers tour and activity reservations, resource scheduling, live inventory, guest manifests and reporting. It also describes distribution through its Channel Manager.

Evaluate it for a business selling scheduled experiences where capacity, guides or equipment need coordination. Test an amended booking against availability and guest communications. Confirm India-specific payments, settlement and your distribution requirements in the proposal; global product availability is not proof that every local commercial requirement is covered.

8. HubSpot CRM: a shared customer record across teams

HubSpot offers CRM contact and deal management alongside marketing and service products. Its WhatsApp integration supports a shared inbox and automated messages. The stated requirement is Marketing Hub or Service Hub Professional or Enterprise, plus a WhatsApp business account and phone number.

It belongs on the shortlist when teams want sales, marketing and service context connected. Scope the paid capabilities you need rather than treating the free CRM as the complete travel stack. Ask how booking records, messaging permissions and service cases will stay aligned.

Make vendors prove the handoff

Before comparing proposals, choose which system holds the authoritative record for each fact:

  • Enquiry owner and sales stage: normally the CRM.
  • Reservation, departure date and cancellation status: the booking system.
  • Payment and refund status: the relevant payment or accounting record.
  • Message eligibility and preferences: an agreed consent record that every sending system can respect.
  • Unresolved service requests: the support system or a clearly assigned case owner.

These are design choices, not universal product defaults. Put them in the implementation scope. Also name the person who fixes a failed sync and the person who can stop an incorrect journey.

Use a fictional booking in the demonstration. Confirm it, change the departure date, then cancel it. Inspect what reaches each system and which messages remain scheduled. Repeat a status update to test whether it creates duplicate reminders. Finally, withdraw marketing permission and check that the appropriate campaign exclusions apply.

A polished normal-path demo is not enough. Ask what happens when a connection is unavailable: where the error appears, whether updates can be retried safely, and who checks that the systems agree afterward. Keep passport scans and other sensitive documents out of demonstration accounts.

For the narrower task of organising agents and pipeline stages, refer to the travel CRM workflow guide. Here, the purchase decision is whether the systems can exchange the facts your customer journeys depend on.

Compare the complete commercial proposal

Ask every shortlisted vendor to separate software subscription, users, implementation, migration, integrations, support and delivery usage. Booking fees, payment-processing charges and message usage should not disappear inside a headline monthly price.

For CampaignHQ, check the current pricing and confirm your channel mix and volume in the proposal. Do not assume that an email allowance covers WhatsApp, SMS or RCS usage. This guide does not quote a universal per-agency budget: a reservation portal and an engagement subscription buy different work.

For Indian operations, ask your finance and operations teams to validate the required invoice fields, tax treatment, payment methods, settlement currency and reconciliation process. Request examples from the proposed setup rather than accepting a general “India-ready” claim.

Include an exit test too: can you export contacts, consent records, booking references and the history you need? Who owns the sender accounts, domains and integration credentials? Record the answers before signing.

Roll out one measurable customer journey

Start where the systems can supply reliable data. An enquiry follow-up or pre-departure reminder may be a useful first test, but the choice depends on your actual failure point. If booking status is unreliable, repair that before scheduling more messages.

Set the acceptance criteria in advance: correct audience, current booking details, no duplicate sends, cancellation handling, permission checks and a visible human escalation. Then compare completed bookings or resolved service requests with the relevant starting population. Delivery reports and clicks are useful diagnostics, not proof of incremental revenue.

Keep working software unless the evidence gives you a reason to replace it. The goal is a dependable customer journey, not another login.

Frequently asked questions

Should a travel agency buy a single suite or separate tools?

Choose a single suite if it meets your sales, booking, service and communication requirements without awkward workarounds. Use separate tools when they solve a specific gap and the data handoff is demonstrable. Include integration maintenance in the decision, not just subscription prices.

Does CampaignHQ replace a travel booking engine?

No. CampaignHQ is a customer-engagement platform with CRM-lite. Use it for relevant messaging and journeys alongside the system that controls reservations, inventory and operational booking facts. Confirm the connection to your particular travel software before committing.

Can the CRM’s existing WhatsApp integration be enough?

Yes, if it meets your team’s inbox, template, workflow and reporting needs. Zoho, HubSpot and Freshsales Suite document WhatsApp capabilities. Test your required workflow and plan entitlements before paying for overlapping software.

What should a seasonal-volume quote include?

Give vendors both normal and peak operating requirements. Ask how subscription limits, users, booking transactions, message usage and support change during a busy season. Confirm overage and renewal terms in writing rather than assuming that an initial quotation covers every peak.

Can we automate messages before the booking integration is ready?

Limit the scope to facts you can trust and verify the audience before sending. Do not automate payment demands, cancellation-sensitive reminders or itinerary updates from stale data. A controlled manual step is safer than a journey that confidently sends the wrong information.
