Indian manufacturers can use WhatsApp for dealer enquiries, quote follow-ups, reorder requests, dispatch updates and after-sales support. Email carries detailed quotations and documents. Connect both channels to CRM or ERP events, record permission, and stop reminders when the business state changes. Keep pricing, credit and order acceptance under human control.

A dealer asks for a revised quantity. Sales sends a fresh quotation by email. The depot still sees the old order, while an automated reminder asks the dealer to confirm a quote they have already accepted. The problem is not a missing broadcast. It is a missing connection between the conversation and the record.

This guide is for sales and marketing managers at Indian manufacturers with dealer or distributor networks. It covers customer communication from enquiry to repeat order, not production scheduling, machine monitoring or factory-floor automation.

Where WhatsApp fits in a manufacturing sales process

Use WhatsApp for a short question, an acknowledgement or a status change. Use email for the full commercial record: specifications, quotation revisions, terms, invoices and service documentation. Neither channel should become a second, conflicting order book.

There is public evidence for manufacturer customer communication on WhatsApp. Havells’ consumer portal directs customers to register warranty through WhatsApp using their name, invoice date and invoice upload. Dealer communication adds another requirement: identify the account, not just the phone number. A distributor’s buyer, accounts contact and warehouse receiver may need different messages. Sending the full price list to every saved number is not account management.

Start with the workflow that has a reliable trigger

Choose a pilot by data quality, not by which demonstration looks most impressive.

  • Quotes already have IDs and an owner: start with enquiry acknowledgement and quote follow-up.
  • Dispatch status is dependable: start with shipment updates for existing dealer orders.
  • Order history is complete across sales channels: test a reorder check-in for a defined dealer segment.
  • Service tickets have owners and clear states: connect intake and appointment updates.

If every salesperson keeps a separate spreadsheet, first agree on the authoritative record and ownership. Automating contradictory data only sends the contradiction faster.

1. RFQ to quotation: acknowledge, qualify, then follow up

A request for quotation, or RFQ, is not an order. Capture enough information for a salesperson to prepare a useful response:

  • Dealer account or buyer company, contact role and territory.
  • Product or part code, specification, quantity and unit of measure.
  • Delivery location and requested date.
  • Drawing or specification revision where relevant.
  • Assigned salesperson, enquiry ID and permission record.

A website enquiry or marketplace lead is not automatic permission for ongoing WhatsApp marketing. Check what the person agreed to before starting a sequence. When the enquiry arrives through WhatsApp, respond to that request and explain how further updates will work.

Illustrative acknowledgement, not an approved template: “We received your enquiry for [part/specification]. Your reference is [RFQ ID]. Please confirm the quantity and delivery location so our sales team can prepare the quote.”

Have sales approve the quotation in the CRM or quoting system. Email the full document, including its revision, validity, taxes, freight and payment terms. A short WhatsApp note can point to that approved version and offer a route to the account owner.

Illustrative follow-up: “Would you like us to clarify anything in quotation [ID], revision [version], for [product]? Reply here to speak with [team/name].”

Schedule the follow-up around the buyer’s requested decision date or the genuine quote-validity date, not a universal daily cadence. Before sending, check whether the quote has been revised, accepted, rejected or put on hold. A reply should pause the unattended sequence until the owner reviews it. Do not let an old reminder continue while someone negotiates new terms.

2. Dealer reorders: ask about demand, do not assume it

A dealer is not a consumer using up a predictable pack of shampoo. Their next order can depend on local stock, customer projects, credit availability, seasonality and pending deliveries. A quiet account may need a sales conversation rather than a discount.

Build the eligible segment from confirmed account history. Check product family, territory, the agreed contact role, recent orders, open quotations, undelivered stock and unresolved complaints. Let the account manager exclude dealers whose circumstances make a reminder inappropriate.

Illustrative promotional check-in, subject to permission and template review: “Are you planning your next order for [product range]? Reply with the item codes and quantities you need, and our team will confirm availability and current terms. Reply STOP to stop these reorder messages.”

Treat the reply as a request for review. A message such as “send the usual” must not create a confirmed order without resolving the SKU, pack size, quantity, delivery address and authorised buyer. A carton and a unit are not interchangeable.

Keep stock checks, account-specific pricing, credit holds and order approval in the system and team that already own them. Send an order confirmation only after that approval is recorded. Suppress the reminder when a new order is accepted, including an order placed through a salesperson or another channel.

Email can carry a relevant product list or specification pack when requested or permitted. It should not repeat every WhatsApp nudge. The aim is a clearer buying process, not twice the message volume.

3. Dispatch: report what happened, not what was planned

Trigger a dispatch message from a verified shipment event. An invoice created or a picking list printed does not necessarily mean the goods left the depot.

Include the order reference, shipment reference, dispatched items or quantities, destination and a trustworthy tracking or contact route. Distinguish an estimated arrival date from a guaranteed appointment.

Illustrative partial-dispatch update: “Shipment [reference] for order [ID] has left [depot]. It contains [items/quantities]. The remaining items are not yet dispatched. View the current shipment status: [link]. For a delivery query, reply here.”

Partial dispatch is where B2B communication often needs more care than a standard ecommerce notification. Track each shipment separately so the first departure does not mark the whole order delivered. If a promised date changes, send the corrected information to the authorised receiving contact and flag the account owner.

Use email for the approved invoice and detailed dispatch documents, or link to the secure customer portal. Do not put one dealer’s prices, drawings or account information in a message intended for another dealer. Check recipient permissions before including attachments or document links.

4. After-sales: acknowledge the issue and name the next step

For equipment, electrical goods or industrial components, a service request needs product context. Collect the minimum needed to route the job: model or part, serial number where relevant, installation location, issue description and purchase reference. Use secure upload routes for documents that should not circulate in chat.

Have the service system return a ticket ID and an owner. WhatsApp can acknowledge intake, ask for missing details and confirm an appointment once it is booked. Email can hold the service report, warranty terms and written resolution.

Do not let a bot promise warranty coverage, replacement approval or a technician arrival time before the responsible team confirms it. For a safety-critical fault, direct the customer to the authorised service or emergency route rather than improvising repair advice.

Pause promotional reorder messages while a serious complaint is open. When the ticket closes, confirm the resolution and give the customer a way to reopen it. A ticket marked “closed” internally does not necessarily mean the customer agrees the problem is solved.

Consent and template rules apply to dealer contacts too

The WhatsApp Business Messaging Policy requires a supplied mobile number and opt-in permission for subsequent contact. On the Business Platform, business-initiated conversations require approved templates. You can reply without a template within 24 hours of the user’s last message; outside that window, use an approved template.

Keep the permission source, wording, timestamp, intended message types and withdrawal status with the contact. Dealer onboarding is a useful moment to ask who should receive order updates and who wants product or scheme announcements. A business relationship is not a blanket subscription for every employee.

  • Separate service from promotion. Keep dispatch updates focused on the specific order. Do not append a sales offer and assume the message remains a utility template.
  • Review the actual template. Category, wording and use must match Meta’s current requirements. A CRM stage called “quote follow-up” does not determine its category.
  • Respect opt-outs. Apply suppression before the next send, including queued reminders. Do not switch to email simply to bypass a withdrawal; honour the scope of the person’s request.
  • Provide human help. Meta requires a clear escalation path when automation responds during the service window. Make your actual support availability clear.
  • Check product eligibility. Some regulated or restricted goods are subject to additional rules or prohibitions. Being a manufacturer does not create an exemption.

Connect business events without creating another ERP

Your customer relationship management system, or CRM, should retain enquiry ownership and sales activity. Your enterprise resource planning system, or ERP, should remain authoritative for the commercial and fulfilment records it manages. A dealer management system may own some of those records instead. Decide which system wins before connecting them.

The communication layer receives a business event, checks the contact and current state, and sends the relevant message. An API lets systems exchange data; a webhook notifies another system that an event occurred. Those mechanisms still need field mapping, access controls and failure handling.

Ask the integration owner to document this minimum contract:

  • Identity: account ID, contact ID, recipient role and authorised channels.
  • Business record: RFQ, quotation, order, shipment or service-ticket ID, with its current revision and state.
  • Trigger: which system produces the event and what it actually confirms.
  • Send decision: permission, approved template, language, document access and stop conditions.
  • Recovery: a unique event ID to prevent duplicate sends, a freshness check for delayed events, and an owner for failed transfers.
  • Return path: where delivery failures, replies and opt-outs are recorded, with each supported data direction verified.

These are acceptance requirements, not claims that any platform supplies the whole integration out of the box. If the ERP cannot expose reliable events, start with a reviewed handoff or a controlled batch. Do not call a nightly file export “real-time”.

A pilot checklist your sales and IT teams can share

Use a small, permission-verified dealer group and one workflow. Include the salesperson, operations owner and whoever maintains the source system. Test the awkward cases before expanding:

  1. Send the same source event again. It must not create a duplicate message.
  2. Accept or revise a quote before its reminder runs. The stale reminder must stop.
  3. Place a reorder outside WhatsApp. The communication workflow must see the accepted order before sending another nudge.
  4. Dispatch only part of an order. The message must show the correct shipment and remaining status.
  5. Change a contact’s role or withdraw permission. Queued sends must use the updated rules.
  6. Fail the data transfer or message delivery. The responsible person must be able to find the failure and resolve it without an unsafe resend.
  7. Reply with a pricing question or complaint. The conversation must reach a human with the right account context.

Measure the result against the same type of dealer and order, not against a vendor’s headline open rate. Useful measures include time from complete RFQ to approved quote, unresolved quotes past their agreed next-action date, accepted repeat orders, order-status enquiries and service requests awaiting an owner. Track opt-outs and incorrect or duplicate messages alongside business outcomes.

A delivered message is not an accepted quote. A click is not a confirmed order. Join communication activity to the actual CRM or ERP record before reporting revenue or conversion. If you cannot make that connection yet, report the measurement gap.

Can a manufacturer start without replacing its CRM or ERP?

Yes, the operating model can keep both systems. Start with one reliable event and a controlled communication path. The specific connection still depends on available APIs, permissions, data quality and implementation scope; verify it with your provider before committing.

Should dealer prices go in a WhatsApp catalogue?

Only if the catalogue accurately represents what that audience may see and buy. Where prices depend on contracts, territory, freight or credit terms, an approved account-specific quotation is safer than a general price list. Confirm access before sharing any commercial document.

Can a WhatsApp reply count as an order confirmation?

Your commercial process determines that. Verify the buyer’s authority, exact items, quantities and agreed terms, then record acceptance in the authoritative system. A casual “yes” should not bypass credit approval or substitute for your required purchase-order process.

How should teams handle regional languages?

Record the contact’s preference rather than guessing from a state or phone number. Have a fluent reviewer check approved template versions. Keep part codes, units, quotation references and safety instructions unambiguous across languages.
